INSTRUCTIONS
Attendees are strongly encouraged to make hotel
reservations early to guarantee hotel rates and availability. Sleeping room
requests for all convention hotels will be handled by the AAI Travel Desk.
This is a service provided to attendees by the Boston Convention & Visitors
Bureau. AAI does not process hotel reservations. You can make hotel
reservations in any of the following ways:
MAKING
RESERVATIONS
Please have the following information
available:
1. Name of Convention: AAI
Annual Meeting
2. 1st, 2nd, and 3rd choice of hotel
3. Arrival/departure dates
4. Number of rooms requested
5. Type of room (single/double, etc.), indicating how many people will
occupy the room
6. Credit card type, account number, expiration date, and billing name and
address
7. Names of all occupants of room
8. Email Address/Fax number to which confirmation is to be sent
9. Daytime telephone number
DEPOSIT
A reservation will not be held without the
required deposit. A one night room and tax deposit by check or credit
card guarantee is required. Wire transfers, cash, and purchase orders are
NOT accepted. Your credit card is a guarantee and may be charged at the
discretion of the hotel holding your reservation.
• Credit Card:
Your credit card will be used as a guarantee only and will not be
charged unless reservation is cancelled within the penalty deadline or you
fail to check-in on day of arrival. Most major credit cards are accepted
(VISA, MasterCard, American Express, Discover, Diner's Club). Credit cards
must be valid through May 2006.
• Checks:
Your deposit check should be made payable to Travel Technology Group
and mailed to AAI Travel Desk, 110 West Hubbard Street, Chicago, IL 60610.
No checks will be accepted after April 6, 2006.
CONFIRMATION
Confirmations will not be
issued by individual hotels, but by the AAI Travel Desk. Each hotel will
honor the AAI Travel Desk acknowledgement. You should expect to receive your
confirmation within 72 hours via email or fax. If you do not, please contact
the Travel Desk by email (aaitraveldesk@ttgonline.com)
or phone (see Instructions, #2, above). Confirmations will be sent
after each reservation booking, modification, and/or cancellation. Review
confirmations carefully for accuracy.
CHANGES, CANCELLATIONS, REFUNDS
Prior to April 19, 2006, changes and cancellations should be made
directly with the AAI Travel Desk. Beginning April 20 changes and
cancellations should be made directly with the hotel. Reservations cancelled
within 72 hours of arrival will forfeit the one night room and tax deposit |
